Unit 2 Part A: the draft of risk assessement

Section 2 - the Risk assessment for the build and use of the exhibition stand

Bomb or terrorist threat and general evacuation requirement

·      In the interest of good security a constant check should be made at the reception by volunteers and will ensure no big cases have been bring in the exhibition.
·       If there is any doubt about a bag, case or package without attention, it should not be touched and Joe or Lesley must be immediately advised.
·      If the threat appraisal concludes that an element of danger exists an announcement shall be made providing evacuation instructions and assembly point location (the car parking opposite the Creative Cohesion). This shall be followed by the following message over the Public Address System. “Attention please, Attention please. An emergency situation has arisen within the Creative Cohesion. Please leave the building by the nearest available exit”.
·      This message will continue to be broadcast until the building has been evacuated. All persons must follow the directions from Joe. Joe will nose count all visitors, volunteers and ensure nobody be left at Creative Cohesion.When the emergency has passed and normal working conditions can be resumed the following message will be broadcast.

Guide volunteers to do constant check in the volunteers’ meeting, the exhibition have to post prominent signs for the way to the point location.
Fire

·      Creative Cohesion is a no smoking venue.

In the event of a fire
The Creative Cohesion has a comprehensive fire detection system which is complemented by sprinkler protection.(???) Alarm points are located at or near fire exits and vehicle doors. The automatic alarm is activated if the smoke or heat detectors come into operation or if any fire hose reels is used.

If you discover a fire:
a) Joe or Lesley must be immediately repored,
b) Break the glass on the nearest manual call point.
c) Telephone 999 and giving the address of the Creative Cohesion.
d) Advise other persons in the vicinity of the emergency.
e) Do not attempt to extinguish the fire unless it is safe to do so and you are competent to use a fire extinguisher.
f) As soon as the instruction to evacuate the Creative Cohesion is broadcast, you must leave the premises by the nearest available exit. Follow the directions from Joe moving to and remaining at Fire Assembly areas at the car parking.
g) Joe will nose count all visitors, volunteers and ensure nobody be left at Creative Cohesion.
G) You must not attempt to return to the Creative. Cohesion until the fire brigade detachment says that it is safe to do so.

Catering-
Food and drink

·      Purchasing pre cooked/ready to eat foods from reputable stockists only and observe use by and best before dates.
·      Clearly display ingredients or possible contamination by ingredients. Eg ’this product contains nuts’ etc.
·      No alcohol is allowed to drink in the exhibition.
·      All plates and forks make use of one-off products and to ensure Hygiene the tableware.



Falling objects (from roof gantry)

·      The roof gantries are closed at exhibition.
·      Any person found the falling from roof or wall, Joe or Lesley must be immediately advised.

Electrical hazards - during build, exhibition and breakdown

·      Battery powered tools should be used so ensure they are fully charged.
·      Power may be turned off at the end of each day unless specially requested.
·      No power appliances / tools of visitors are allowed unless they are checked by Joe.
·      Any issue of Electric have been found, it should not be touched and Joe or Lesley must be immediately reported.

·      Staff should be healthy and advised to remain away from the conference if they are showing signs of flu.
·      Sanitizer / hand wash is advisable and should be on the stand for those meeting the delegates.

·      The exhibition have to post prominent signs for the first aid,
·       If any person are aware that himself/ herself have a medical condition that may require assistance (such as mobility restriction or epilepsy) please help us to ensure himself/herself are treated properly by advising the security team when you arrive.
·      Any person feeling unwell should make themselves known to a member.
·      Administrators should be reminded to be vigilant and take care of personal belongings and IT equipment
·      Any suspicious persons should be report immediately to Joe or Lesley.

·      Kettles should be placed in a suitable position to prevent knocking over – especially behind stands

Care of children

·      All age children are welcome to the exhibition.
·      A minimum of two adults are requited to care one children who below 14 years old in the exhibition at any one time, and they have responsibility to stop the child running, shutting and touch exhibits in the exhibition, also they should to remind children the place of experience exhibits.
·      The children who below 5 years old are not allowed to take food by themselves.
·      Provide a highly visible and signed Lost Children Point.
·      A minimum of two volunteers are required to staff the lost children area at any one time-a team of tree will allow rotation to give sufficient cover over a long time.
·      The person claiming a child should complete a form to include their name and address and show relvant form of identification.

Unite 2 The project plan Part A

What is your project?
I create and organized an personal exhibition at one local art galleries.
It is an exhibition of the personal art works and shows the developing process of my art practice. 
Your main role or job in the project:
Create over 30 high quality art works,
Done the risk assessment plan and discuss with tutor,


Who else is working with you or helping? What are they responsible for?
My tutor Lesley will help me to set up and organized the environment of the exhibition, as well as, we will discuss risk assessment in the environment.  my tutor Joe will guide me to screen out10-20 high quality exhibits  from study pad. My friend Hao will be receptionist who take charge the check in and assist participants done the feedback of the exhibition.

Who are the participants or main audience for your project? How many?
Anybody interest in the Vision Art and have free time to attention the exhibition. It will be free and accessible to anyone, children is welcome, too. Possibly, 100 people will attesoftnd the exhibition.


How will you motivate participants involved in your project?
The planning of propaganda include give out leaflets around sunniside Sunderland and university of sunderland, organized a event at online; design a big poster and publicize at gallery and notice board. They can get free snacks and drinking buffet at exhibition. Anybody who done the feedback questionnaire, they will have opportunity to win a 10 pounds voucher.

How long will your project take? What about planning time, and time afterwards to   create a report?

What are the health and safety considerations?
The Artifac(ne) Art studio have insurance and risk assessments for exhibitions in the gallery, so the exhibition will be covered from that aspect.

Do you need to do a risk assessment?


What resources do you need?
Few frames and print explanation;
Background music;
Snacknibbles and soft drinking;
200 leaflets and 2 posters;
The exhibition brochure which could sell to participants;
 Small original artwork which could sell to participants.


How will you know if the project has worked?
1. This will mainly based on the feedback and voice from participants at exhibition and offline.
2. I will do 15 questionnaires with random  participants and ask closed question after exhibition.
3. There will have a painting wall where all participants could to draw a zentangla together.

How will you collect feedback?
There will have a feedback book and my friend will ask every participants leave comment at the book, and participants also could leave comments at my blog.

A space?

What things could do wrong? Do you have a back up plan?
There might haven’t  so many participants join intime maybe not enough, nobody bought brochures and small original artwork, the snack and nibbles might not attract anyone.
Participants laugh at my artwork and hardly enjoying them, might couldn't follow the explanation, they aren’t willing writ down feedback, haven’t a lot of participants draw down on the zentangla wall.


What else do you need to find out about or do?
I have to set a ensure date with Artifact(ne) Art studio.
